What we collect, and why
When you use the contact form
We collect your name, email address, the subject you give and the message you write, so we can reply and, if it goes further, scope the work.
Lawful basis: steps taken at your request before entering into a contract, and legitimate interests in responding to business enquiries.
When you email us
We hold your email address and whatever you put in the message, for as long as the matter requires.
Lawful basis: legitimate interests.
When we work together
During an engagement we hold contact details for the people we deal with, along with the technical and commercial information needed to do the work. Where that includes personal data belonging to your staff or your customers, you remain the controller and we act as your processor under the engagement terms.
Lawful basis: performance of a contract, and legal obligations for records tax and company law require.
When you browse this site
If — and only if — you accept analytics in the banner, Google Analytics records how you arrived, which pages you read, roughly where in the world you are and what device you used. It does not identify you. Decline or ignore the banner and nothing is recorded.
Lawful basis: consent, withdrawable at any time — see the cookie policy.
Our hosting provider also keeps short-lived server logs (IP address, browser, page requested) to deliver the site and protect it. Lawful basis: legitimate interests in security and availability.
Who else handles it
- Web3Forms — receives contact form submissions and forwards them to our mailbox.
- Microsoft 365 — our email.
- Cloudflare — hosting, content delivery and security for this site.
- Google Analytics — website analytics, only after consent.
We do not sell personal data, share it for advertising, or buy marketing lists.
Where it goes
Some providers process data outside the UK. Those transfers rely on UK adequacy regulations or the International Data Transfer Addendum to the EU Standard Contractual Clauses.
How long we keep it
- Enquiries that go nowhere — up to 24 months.
- Client records and project correspondence — six years after the engagement ends.
- Analytics — no longer than 14 months.
- Server logs — a short rolling period held by our hosting provider.
Your rights
Under UK GDPR you may ask for a copy of your personal data, have it corrected or deleted, restrict or object to how we use it, or receive it in a portable form. Where we rely on consent you can withdraw it at any time. Email us and we will respond within one month, free of charge.
Complaints
Tell us first if something has gone wrong. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
